
Message from the President 2005-2007 – Angela Foran
at the Annual Meeting on June 6, 2007
The RMI has seen a lot of successes the past 2
years. Our membership has increased substantially; the Learning Opportunities
have been focused on information management “hot topics” that have sparked a
lot of interest in the community; we had a very successful seminar and a MIDA
training workshop; we have been making changes to our promotional items and
have been very visible in the community by attending events and keeping the
lines of communication open.
The Directors on the Executive have done a
phenomenal job and have really listened to the members and the community to
make sure that member’s needs were being met and adjusting their portfolios as
necessary.
We brought in money from the seminar and spent
money on the planning and dissemination of the seminar; promotional items; the
annual Holiday Luncheons; and the Annual General Meetings.
The RMI has given out awards for:

Member of the Year 2005-2006: Joanne Pagé-Gauthier
Honorary Member 2006: JoAnne Plouffe
Cardillo Award 2006: Bob Provick and
posthumously Dr. William Kaye Lamb.
The RMI celebrated 30 years of the Cardillo
Award in 2006.
I would like to thank Don McGee, Director at
Large, for guiding me through the transition from Program Director to President
as well as all his hard work on the re-design of the RMI web site; Sylvie
Charron for her position as Vice-President and treasurer and making sure that
our finances were always in order and for helping to plan the MIDA Case files
workshop and the 2007 AGM; JoAnne Pagé-Gauthier for taking on membership and
increasing the number of individual and corporate memberships; Jon Fotheringham
for planning and organizing our 2006 Seminar; Randy Quammie for listening to
the members needs and ensuring that the RMI learning opportunities focused on
“hot topics”; Lee Armstrong for taking over as Public Relations Director mid
term and doing a great job at researching new promotional items; Francois
Mailhot for taking care of the RMI website; and Sandra Martin for her work on
the Constitution.
I would like to say a special thank you to the
RMI Secretary JoAnne Plouffe for her exceptional commitment to the RMI and all
the hard work that she does in organizing meetings, translating documents,
planning the MIDA Case Files workshop and the 2007 AGM and keeping the mandate
of the RMI on track.
Finally, I would like to extend a big thank
you to the RMI members whose commitment and encouragement make all of what we
do possible and enjoyable.
Good luck to the new Executive and thanks to
all of you for your support over the past 2 years.
Public Relations and Sponsorship Director – Lee Armstrong

PR Director sent out a letter to members encouraging
all to attend the annual IM Day and inviting all to stop by the RMI booth for a
visit.

PR Director ‘manned’ the RMI booth for one day during
the IM Day. Purpose was to greet people
and promote the RMI
·
Purchased a variety of items to make up two Christmas
baskets (1 large; 1 small) for the RMI Christmas luncheon. As is the custom, the PR Director sold
tickets for these baskets at the luncheon.
Proceeds were donated to this year’s charity of choice - Breast
Cancer Research. The decision on the
annual charity of choice is a collective decision.

PR Director began scouting around at various places
for potential promotional items that would be useful and therefore help
advertise and promote the Association.
It was generally agreed that it would be a good idea to order more pens
as they are always popular. As well as
the pens, it was decided that magnets were another good choice and were
reasonably priced.

PR Director was in regular communication with a
company in the USA regarding these pens and magnets.

PR Director, accompanied by the RMI Treasurer, went to
visit a local provider of promotional items (Globe). Spent some time with a representative and
realized it would be less costly to order from the local company rather than
the American company. This local company
also had pens and magnets that were comparable and less costly. The company also introduced the notion of
corn mugs and corn pens. This would be
an environmentally friendly alternative and may set RMI apart from others;
however, the items were costly and are, at this point, only a thought.

Magnets and pens have been ordered. This stock will be used as RMI promotional
items and will be handed out at different events.

A $50.00 gift certificate from RONA was purchased for
the RMI Year-end Meeting in June where the Cardillo award will be
presented. Also purchased 10 Tim
Horton’s gift certificate books @ $5.00 each.
These will be used as door prizes at the RMI Year-end meeting

2006 Seminar
The theme of the January 26th 2006 Seminar – ‘For the love of content’ « Pour la passion du contenu » – reflected a heightened awareness about records; an awareness that
is not limited to records management specialists and professionals. Due to incidents of impropriety, such as the
sponsorship scandal here in Canada and the Enron incident in the United States,
records related issues have captured the attention of the larger public. There is growing appreciation for the fact
that records contain information that is valuable, at times even critical, in
protecting group and individual rights and interests. There is growing appreciation that because of
what records can tell us, they deserve our attention and care. For some of us, paying attention to and
caring about records have become the primary focus of our professional lives,
they have become a passion.
The Seminar featured: a keynote address delivered by Denise Charbonneau
of the Treasury Board Secretariat (TBS) about the Board’s new Information
Management (IM) Program for the Government of Canada; six other topical sessions
about various aspects of records management; seven speakers speaking to those
sessions; comfortable accommodation at the Centurion Conference and Event
Centre; and a delicious lunch.
In addition to gaining knowledge of the new TBS IM Program, over 80 registrants
had the opportunity to learn about the historic, current and future role of
Library and Archives Canada (LAC) Federal Records Centres, about ‘Recordology’
– Health Canada’s records management desktop awareness and training product,
the IM Professional Development and Certification Program developed by the
Organizational Readiness Office of Public Works and Government Services – to be
delivered via the Canada School of Public Service, LAC work on IM Business
Rules and Function-based Classification, and about resources within the
National Capital Region for professional development in Records and Information
Management.
The Seminar resulted
in approximately $7,000 in net revenue for RMI – through the efforts of Seminar
volunteers, especially, Marie-Josée Philion (Registrar), Don McGee (vendor
showcase and publicity), JoAnne Plouffe (translation and publicity), Beth Knox
(speaker gifts), Denise Champagne (session host), Dennis Quan Nguyen (session
host), Angela Wang (session host) and Angela Foran (seminar host and closing
remarks). And, of course, special thanks
to our speakers: Denise Charbonneau, Sherin Emmanuel, Francine Frappier,
Sylvain Roy, John Savage, Scott Valentine and Ralph Westington.
2005-2007
At the beginning of her mandate in June 2005, the Director of Membership
had 23 corporate memberships and 42 individual memberships. As of April 25, 2007,
the RMI had 34 corporate memberships and 52 individual memberships in good
standing.
Both memberships’
applications are in an electronic format, on-line, on the RMI Web site. The membership application is received, compiled, and an invoice is sent
electronically. It is easier and much
faster.
For further recruitment in December 2005, the membership director used
previous membership’s lists from JoAnne Plouffe. It granted an addition in the
membership volume. Finally, an invitation note was added to her e-signature to
initiate a visit to the RMI Web Site.
Program Director – Randy Quammie
2005/2007
Over the last couple
of years, the RMI had experienced a series of extremely interesting and
enlightening Learning Opportunity programs. In program year, 2005-2006 three
learning opportunities were held at 395 Wellington St. Room 156. Overall, these
programs were well attended and costs were kept to a minimum thanks to the free
accommodation and technical supports provided by Library and Archives Canada.
During program year 2006/2007,
we experienced a shift in accommodations from facilities provided by LAC to
paid accommodations at the Government Conference Centre. At the Conference
Centre, we held two Learning Opportunities. Both were extremely well attended
and our membership gave some very positive reviews. The presenter of our April
Learning Opportunity was Claude Meunier who gave a very interesting and
animated presentation. There had been an audience of over 40 and they were well
entertained and informed by this presentation. The accommodation and technical
supports for this presentation were provided courtesy of Industry Canada.

The web site was kept
up to date with current information regarding the up coming Learning
Opportunities and seminar information as well as job opportunities and articles.
There has been a lot
of planning and discussion over the last 3 years to revamp and re-design the
web site to bring it into the 21st Century and make it very
appealing, searchable and easy to use. Francois had started some work on this
and Don McGee took it over this year and has completed the redesign. It will be
ready for its unveiling in June 2007.
Director of Constitution – Sandra Martin
2005/2006
The constitution has
been edited over the past 2 years due to changes and updating that the RMI has
undergone internally. The final draft will be completed this summer and will be
voted on by the Executive Board of Directors and RMI members in the fall 2007.
